Austria FAQ: delivery times, minimum orders, pricing and trade fairs

Twelve questions across three parts, answered properly. Part one covers what almost everyone asks about promotional products in Austria: delivery times, the real minimum order, what moves the unit price, and deliveries to Austrian trade fair stands.

01How long does delivery of promotional products to Austria take?

For standard catalogue items, allow roughly seven to fourteen working days from the moment you approve the artwork proof, plus transit. Bespoke or custom-manufactured products run four weeks or more, and we say so before you commit rather than after. Austria is inside the EU and Schengen, so there is no customs clearance and no import paperwork on the way in.

Production is the long pole, not shipping. Once goods leave the decorator, transit into Austria is short: Vienna, Linz and Graz typically see one to two day courier delivery from our Central European partners, and the western states such as Tyrol and Vorarlberg usually add a day. Express production and express freight exist for many catalogue lines, at a cost we state plainly on the quote.

One Austrian quirk worth planning around: public holidays such as 26 October, 1 November and 8 December, plus the Fenstertag bridge days beside them, quietly remove working days. Give us the date the goods must be in hand and we plan backwards from there.

02What is the minimum order quantity for branded merchandise?

Lower than at most suppliers, because we hold no warehouse and no stock we need to shift. The honest minimum depends on the product and the branding method rather than on a blanket rule, so tell us the quantity you actually want and we will tell you straight whether it makes economic sense.

Minimums exist because decoration carries fixed setup costs: screens for screen printing, plates for pad printing, digitising for embroidery. Spread over fifty pieces those costs dominate the unit price; spread over five hundred they almost disappear. Some methods carry hardly any setup at all, which is why small runs are perfectly possible when product and technique are chosen well.

  • Digitally printed textiles and laser engraving: viable from very small runs
  • Embroidered polos, caps and workwear: typically from around 25 to 50 pieces
  • Pad and screen printed items such as pens: usually worthwhile from around 100 pieces
  • Fully bespoke manufacture: generally four-figure quantities

Treat those numbers as orientation, not promises: the quote is what counts. If thirty pieces of your first choice would price badly, we say so and propose an alternative that works at that volume instead of quietly letting you overpay.

03What do promotional products cost per unit in Austria?

Three things move the price: quantity, product and decoration method. Quantity does most of the work, because print setup is a fixed cost spread across the run, which is why fifty units and five hundred units price very differently per piece. We do not publish price lists because they would be wrong for your brief. Send the quantity and the deadline and you get a real quote, not a range.

Beyond those three, a handful of details shift the final number: how many print colours and positions the logo needs, individual packaging such as polybags or gift boxes, splitting the delivery across several addresses, and whether express production or freight is involved. None of these are hidden extras; each one appears as its own line on the quote.

04Can you deliver straight to a trade fair stand in Austria?

Yes, and we do it regularly: Messe Wien, Messe Graz, Messezentrum Salzburg and Messe Dornbirn, plus congress venues such as the Austria Center Vienna. We need the hall and stand number, a named person who will be on site, and a local mobile number that is actually answered during build-up. Fair deliveries also need an earlier deadline than an office, because venues only accept goods inside set windows.

Exhibition grounds do not work like offices. Most route incoming goods through an official forwarding agent or an advance warehouse, apply their own labelling rules and charge handling fees; a parcel outside the slot can be refused or parked where nobody finds it. Your exhibitor manual states the rules, and we plan the delivery to match, aiming a day or two before build-up rather than opening morning.

If the venue offers an advance warehouse, we usually recommend it, because it removes the single riskiest hour of the whole project. For smaller quantities, delivering to your hotel or a nearby office and hand-carrying onto the stand is often the calmest route.

Austria FAQ for businesses: UID, VAT, tax deductibility and German-language service

Part two of three, for companies based in Austria: UID and the invoice, what Austrian tax law says about deducting merchandise, where production runs, and how much can happen in German.

05Do you charge Austrian VAT, or does reverse charge apply?

For an Austrian business with a valid Austrian UID number, the standard case is an intra-Community supply invoiced without VAT: you self-account for 20 percent Austrian acquisition tax and, with full input VAT deduction, reclaim it in the same return, so the net effect is usually zero. Private individuals and customers without a valid UID pay 20 percent Austrian VAT via the EU One Stop Shop. We fix the treatment on the quote, not the invoice, so your tax adviser can check it before you commit.

The mechanics are strict on purpose. We validate your UID in the EU VIES system before zero-rating anything, and the UID must match the country of delivery: an Austrian UID covers an Austrian delivery, not a German one. That precision keeps your input VAT deduction safe in an audit.

  • Valid Austrian UID plus Austrian delivery: invoiced without VAT, intra-Community supply
  • Your side: self-assess 20 percent acquisition tax, normally deducted in the same return
  • No valid UID, or private buyer: 20 percent Austrian VAT via OSS
  • Always: the exact treatment stated on the quote, checkable before you order

If your setup is unusual, a public body, a delivery split across countries, say so early and we map the treatment per destination before anything is produced. Boring paperwork done properly is part of the product.

06Are promotional products tax-deductible in Austria?

The Austrian rule is stricter than many expect. Customer gifts generally count as non-deductible representation expenses under Paragraph 20 of the Austrian EStG; the recognised exception is items that genuinely advertise, and case law explicitly accepts merchandise carrying a company imprint, classically calendars and pens. Wide distribution and a visible logo carry the argument. Confirm your case with your Steuerberatung.

The VAT side runs in parallel: where input VAT was deducted, giving goods away can trigger self-supply VAT, except small-value gifts up to 40 euros net per recipient per year and product samples. Your own team is treated more kindly: gifts in kind up to 186 euros per employee per year are tax-free, company events carry a separate 365 euro allowance, and a further 186 euros covers service and company anniversaries, all as of 2026.

  • Safest zone: branded giveaways distributed widely, with the logo doing visible work
  • Risky zone: high-value individual gifts, even with a logo; courts have refused logo-branded wine
  • Employees in 2026: 186 euros in gifts, 365 for events, 186 extra for anniversaries
  • Discipline: keep recipient records beyond small giveaways

07Can you produce in Austria, or is everything imported?

We work through a European supplier network, and the production location depends on the product, the quantity and the deadline. For Austrian deliveries, decoration typically runs in neighbouring countries, Germany, Czechia, Poland, Hungary and Italy among them, which keeps transit into Austria short. If Austrian or regional production genuinely matters to you, say so at briefing stage and we will quote it explicitly rather than quietly source elsewhere.

The honest industry picture: most blank stock is imported into Europe, and the value we control is where it is decorated and how it is handled. Printing, embroidery and engraving for our orders happen inside the EU. Genuinely Austrian-made ranges exist in selected categories, wood, paper and some textiles, but they narrow the choice and raise the price, which we show transparently.

08Can we deal with you in German?

Yes, for the documents that matter: quotations, order confirmations and artwork proofs can be issued in German, and this website runs fully in German. Day-to-day project management is handled in English, which is how most Austrian companies already work with international suppliers. If a fully German-language process is a hard requirement, tell us up front and we confirm what we can commit to.

09What artwork do you need from us?

A vector file is ideal: AI, EPS or a print-ready vector PDF, with fonts converted to outlines. If all you have is a PNG, a JPG or an SVG export, send it anyway: we convert raster logos to vector at no charge and return the result for your written confirmation. Nothing goes into production until you have approved a digital proof in writing, which protects both sides.

For exact brand colours, give us Pantone references and we match them where the method allows; screen and pad printing hold spot colours precisely, while full-colour processes work in CMYK, where small shifts are normal. Very fine lines, tiny text and gradients have physical limits on some techniques, and we flag those risks on the proof rather than print and hope.

The proof shows position, size and colours on the actual product, and the schedule clock starts at your approval. The fastest thing you can do for your own deadline is approve, or correct, the proof the day it lands.

10When should we order for Advent and Christmas in Austria?

From September, and earlier if you want a specific product rather than whatever remains. The Austrian year end is unusually dense: Nikolo on 6 December, the Adventmarkt season, the office Weihnachtsfeier and the new year client gift all land within a few weeks. By November the good stock is committed and the print queues are full, so the choice narrows sharply.

The calendar itself works against December: 8 December is a public holiday, 26 October and 1 November remove days shortly before, Fenstertag bridge days thin out warehouses, and parcel networks hit their annual peak. For goods in hand on 1 December, catalogue orders realistically need artwork approved by early November; bespoke production needs its briefing back in September.

  • December: courier peak, plan an extra buffer for every delivery

Repeat clients get a nudge from us in late summer for exactly this reason. And if you are reading this in late November with a December deadline, ask anyway: a limited set of express-capable products can still land, and we will tell you the honest cost.

11Can you split one order across several addresses?

Yes. We deliver to multiple locations from a single order and a single invoice, whether that is eight offices across Austria or a campaign running in Vienna, Munich and Milan at once. Where deliveries cross borders we handle the VAT treatment per destination, so you are not left reconciling several sets of rules yourself.

In practice you give us one delivery matrix: address, quantity, named contact and phone number per site. We pack and label per destination, provide tracking per shipment, and can itemise the invoice per site if your cost centres need it. Worth knowing: an Austrian UID covers the Austrian legs, while deliveries into other countries follow that country's treatment, and we state each leg's treatment on the quote.

The one hard rule: the address list freezes at proof approval. Changing destinations after dispatch is expensive and slow, so we confirm the matrix in writing before anything ships.

12Can we see a sample before committing?

Usually yes. Samples can be arranged on most catalogue products, and we confirm the cost and the timing together with the quote rather than promising something we cannot deliver. Bear in mind that a physical sample adds time to the schedule, so if your deadline is tight, ask for it early or decide from the digital proof instead.

There are two kinds, and they solve different problems. A plain stock sample arrives fast and answers the quality questions: material, size, weight, colour in real light. A pre-production sample with your logo takes longer and carries setup cost, but for large runs, sensitive brands or bespoke production it is money well spent. For most standard orders, the written digital proof is the decision document.
