FAQ 01 OF 03 STRATEGY AND SELECTION

    QUESTIONS 1 TO 4

Choose the job before the object.

Event giveaways can mean almost anything. These four answers turn the category into a useful brief for trade shows, conferences, festivals, launches, hospitality programmes and internal events.

    01

    1. What is an event giveaway, and how do we choose the right product?

    Practical answer

An event giveaway is any branded item that performs a defined job before, during or after an event. Start with that job rather than a catalogue page.

A wristband can control access, a badge can identify roles, a fan or poncho can solve discomfort, a pin can invite participation, and a useful pocket item can extend recall. The right choice depends on who receives it, what should happen next and the exact moment of handover.

    Define the function

Choose access, participation, comfort, conversation, thanks or follow up before choosing the object.

    Define the recipient

Every attendee, staff, families, qualified prospects and invited guests should not automatically receive the same item.

    Define the moment

An item at registration has a different job from one earned after a valuable conversation.

    02

    2. Which promotional products work best for trade shows, conferences, festivals and corporate events?

    Practical answer

The best product changes with the environment. A useful event item fits the venue, audience behaviour and distribution moment.

Trade shows favour conversation starters and useful follow up items. Conferences need clear access, orientation and well managed welcome kits. Festivals and public events often benefit from wristbands, fans, sunglasses, ponchos, flags or participation items. Hospitality and corporate events usually reward a smaller, more considered selection.

    Trade shows

Use a relevant pocket item, cleaning cloth, pin or functional conversation device and give it during a real interaction.

    Conferences

Prioritise credentials, badge accessories, orientation and one useful component rather than an overloaded bag.

    Festivals and activations

Choose products that manage entry, create a shared action or solve weather and comfort at the point of need.

    03

    3. How many branded giveaways should we order for an event?

    Practical answer

Base the quantity on the eligible audience and distribution plan, not simply the registration figure.

Separate attendees who will receive the core item from staff, speakers, invited guests and qualified prospects. Then account for attendance rate, multiple entrances, event days, shifts and replacement stock. A planning reserve of around 5 to 10 percent can be sensible after attendance is confirmed, but the correct reserve depends on uncertainty and logistics.

    Build from recipients

Count each audience tier and decide whether every person genuinely needs the item.

    Split before delivery

Allocate cartons by day, entrance, stand, hotel, shift or city so the stock can be controlled.

    Check product rules

Minimum quantities, carton multiples and branding methods can change the most efficient order quantity.

    04

    4. Is one better promotional gift more effective than several cheap giveaways?

    Practical answer

Often yes, especially for qualified prospects, invited guests and follow up. Mass participation can still justify a simple lower cost item when it performs a real job.

Value does not come from price alone. It comes from relevance, perceived quality, timing and usefulness. One stronger item can represent the brand better and reduce waste, while a simple wristband, sticker or flag can be exactly right for access or collective participation. The safest plan is often a clear tier rather than the same product for everyone.

    Core audience

Use a fast, functional item when every attendee needs access, orientation or participation.

    Priority audience

Reserve a better item or curated kit for valuable conversations, speakers, clients or invited guests.

    Avoid random volume

A mixed bowl of unrelated objects is difficult to measure, distribute and remember.

FAQ 02 OF 03 SAMPLES ARTWORK AND BRANDING

    QUESTIONS 5 TO 8

Approve what will represent your brand.

Samples and proofs reduce uncertainty before production. This section explains what can be sampled, what to inspect and how artwork moves from a logo file to an approved event product.

    05

    5. Can Swish & Click provide samples before I place an event merchandise order?

    Practical answer

Yes. We can provide plain samples of most products, digital artwork visuals and branded preproduction samples when the order, timing and product allow it.

A plain sample lets you assess the base item, dimensions, material, colour and function. A digital visual confirms placement, scale and orientation. A branded preproduction sample provides the highest confidence for complex branding, premium items or large projects, but it normally adds cost and production time.

    Plain samples

Many products can be supplied without branding. Some lower value samples may be free, while others carry a product and delivery charge.

    Digital visuals

A visual is normally the fastest approval route for standard branding and is supplied before production.

    Branded samples

Custom samples are quoted separately. We confirm whether any charge can be credited against the final order.

    06

    6. What should we check when an event giveaway sample arrives?

    Practical answer

Test the sample as it will actually be handled, worn, carried, photographed and distributed at the event.

Check material, weight, colour, finish, edges, dimensions and perceived quality. Test the practical detail that matters: wristband closure, badge fit, lanyard attachment, fan strength, poncho coverage, sunglasses fit, keyring hardware or cloth performance. Also compare the real branding area with your logo and message.

    Use and comfort

Ask several people to handle or wear it and include accessibility needs where relevant.

    Brand visibility

View it at real distance and in likely event lighting rather than only close to a screen.

    Distribution reality

Time the handover, test the packaging and estimate the space needed behind a desk or stand.

    07

    7. Which branding method is best for small event accessories?

    Practical answer

The best method depends on material, artwork detail, print area, required durability, quantity, deadline and budget.

Pad printing and screen printing can suit simple high volume marks. Digital or ultraviolet printing can reproduce more detail and colour on compatible surfaces. Laser engraving creates a durable finish on metal, wood and selected materials. Doming, labels, embossing and debossing can work for particular shapes and substrates.

    Start with the material

A method that works beautifully on metal may be unsuitable for silicone, fabric, plastic or bamboo.

    Test real scale

Thin lines, small text and complex logos may need simplification when the branding area is only a few centimetres.

    Balance the brief

Durability, colour accuracy, setup cost and production speed must be considered together.

    08

    8. What artwork and approval does Swish & Click need before production?

    Practical answer

Vector artwork is preferred, followed by a clear digital proof and written approval before production starts.

AI, EPS, PDF or SVG files usually give the cleanest result. Supply Pantone references when colour matching matters, plus any minimum size, exclusion zone or logo version rules. We confirm product, colour, quantity, branding method, position and dimensions in the proof. The client should check spelling, dates, contact details and QR codes at final size.

    Proof first

Production begins only after the agreed specification and artwork are approved and payment terms are satisfied.

    Sample when risk is higher

A branded preproduction sample can be requested for complex, premium or highly visible work.

    Approve carefully

Changes are normally impossible once approved branded production has started.

FAQ 03 OF 03 TIMING SUSTAINABILITY AND DELIVERY

    QUESTIONS 9 TO 12

Plan the handout as carefully as the product.

The product is only successful when it is approved, packed, delivered and handed over correctly. These answers cover lead time, event logistics, sustainability claims and European delivery.

    09

    9. How early should we order branded giveaways for an event?

    Practical answer

Start as early as possible and work backwards from the required delivery date, not the public opening time.

The route may include product selection, sample transit, artwork, proof approval, production, quality checks and delivery. Stock based products with standard branding can sometimes move quickly, while custom colours, bespoke manufacture, complex packing and several destinations require more time. Exact lead time is confirmed with the quote and current stock.

    Set the real deadline

Goods should arrive early enough for checking, internal transport and venue access, not on the event day.

    Protect approval time

Late artwork or slow proof approval reduces production and contingency time.

    Flag urgency honestly

We can assess faster products and branding routes, but availability and delivery must be confirmed.

    10

    10. How should event giveaways be packed and distributed on site?

    Practical answer

Packing should follow the handout plan so staff can identify, count and distribute stock without opening every carton.

Split quantities by entrance, day, shift, audience, hotel, stand or activation point. Use clear carton labels and provide a simple allocation sheet. Keep reserve stock controlled and tell staff exactly who receives each item and what action should accompany the handover. Individual packaging should only be used when protection, hygiene, labelling or presentation justifies it.

    Pack by destination

A carton should arrive where its contents will actually be used.

    Brief the team

Distribution staff need recipient rules, replenishment contacts and a clear reserve process.

    Choose the moment

Useful items create more value when offered at the point of need or after the intended action.

    11

    11. Can event giveaways be sustainable without becoming greenwashing?

    Practical answer

Yes, when the plan uses fewer relevant products, credible product information and realistic claims rather than relying on one fashionable material.

Prioritise usefulness, appropriate quantity, durability, reuse and minimal unnecessary packaging. Then check the actual product evidence, such as recycled content, responsible material certification, supplier declarations or relevant compliance documents. RPET accessories, bamboo or wooden items and reusable products can be suitable, but no material makes every product automatically sustainable.

    Reduce before replacing

A well targeted quantity and one useful item can matter more than adding several products with green labels.

    Ask for evidence

Use product specific documentation and describe only the attributes that can be supported.

    Plan after use

Consider whether the recipient will keep, reuse, recycle or correctly dispose of the item and packaging.

    12

    12. Can Swish & Click deliver event merchandise to venues, hotels or several European locations?

    Practical answer

Yes. We can plan single venue, hotel, office and multiple destination deliveries across Europe, subject to the confirmed product route and destination requirements.

Venue delivery needs more detail than a normal office address. Confirm the named receiver, mobile number, loading access, opening hours, event reference, carton or pallet rules and any advance warehouse deadline. For split delivery, provide the exact quantity for every address. Routes outside the European Union may also require customs and tax planning.

    Name the receiver

A responsible contact should be available when the carrier arrives and know where the goods must go.

    Label every allocation

Cartons can be organised by city, venue, event, department or handout point.

    Confirm the route

Cost, transit time, customs treatment and delivery conditions are checked for each destination.
